Uploading Your PDF
Step 1: Select Your File
- Click the blue Upload PDF File button
- Select your bundled PDF from your computer
- Wait for the upload to complete (progress bar will show)
File requirements:
- Maximum size: 100 MB
- Format: PDF only
- Any number of pages
Step 2: Wait for Analysis
The system will automatically analyze your PDF to detect:
- Total page count
- Embedded bookmarks
- Index or table of contents pages
This usually takes 5-15 seconds depending on file size.
Automatic Extraction Method Selection
After analysis, the system automatically selects the best extraction method for your PDF:
Selection priority:
1. Index extraction (preferred) - If an index or table of contents is detected
2. Bookmark extraction - If no index but bookmarks are present
3. Manual definition - If neither index nor bookmarks are available
The system highlights the selected method with a green box. You can also manually choose a different method if preferred.
Method 1: Index Extraction (Preferred)
When used: PDF has a table of contents or index (detected automatically)
How it works:
- System analyzes the index/table of contents pages
- Identifies document names and page ranges
- Creates extraction plan automatically
- Processes using Claude Sonnet 4 language model
What data is processed:
- Only the index/table of contents pages (typically 1-2 pages)
- Not the full document
- Example: "Document 1: Witness Statement, Pages 1-5"
Processing details:
- Service provider: Google Vertex AI (processed in Google's London, UK data centre)
- What Google receives: Only the index/contents pages (typically 1-2 pages of document titles and page numbers)
- What Google does NOT receive: Your actual documents, attachments, or any other content
- UK GDPR compliant: All AI processing remains within the UK — your data never leaves UK jurisdiction
Best for:
- Most PDFs with structured indexes
- Professional document bundles
- Fastest and most accurate results
Automatically selected when: Index or table of contents detected in PDF
Click Use Index to proceed with this method (or it will be auto-selected).
Page Offset Correction
After the system extracts documents from the index, you'll see a Page Offset Correction dialog. This helps handle cases where page numbers in the index don't match the physical PDF page numbers.
What is page offset?
Some bundles use "logical" page numbering in their index:
- Index says: "Document 1 starts at page 1"
- But physically in the PDF: Document 1 is at PDF page 5
This 4-page difference is called an "offset."
The dialog shows:
- The first document name
- Where the AI detected it in the index
- A field to confirm or adjust the physical PDF page
- A preview of what offset will be applied
Most common scenario (proper bundle):
- Index page numbers match physical PDF pages
- Offset = 0 (no adjustment needed)
- You'll see: Single "Continue" button
- Simply click Continue to proceed
When adjustment is needed:
- Index uses logical numbering (page 1, 2, 3...)
- But physically at different pages (page 5, 6, 7...)
- Adjust the page number in the dialog
- You'll see: "Skip - Use As Is" and "Apply Offset" buttons
- Click Apply Offset to shift all documents
Auto-fix for unusual indexes:
If the system detects "page 0" numbering (rare but happens), it automatically:
- Shifts all documents by +1 page
- Shows a yellow warning banner
- Adjusts page numbers for you
- Defaults to offset = 0 after correction
Tips:
- For proper bundles: Just click Continue (offset = 0)
- If unsure: Try Continue first, check the results
- You can always go back and re-extract if needed
- The preview shows exactly what will happen
Method 2: Bookmark Extraction
When used: PDF has embedded bookmarks but no index (detected automatically)
How it works:
- Reads the PDF's existing bookmark structure
- Automatically creates documents based on bookmarks
- 100% local processing (no external services)
Processing:
- Fully local processing (UK server only)
- No external services involved
- Fast extraction
Best for:
- Professionally created bundles with bookmarks
- Court filings with embedded navigation
- PDFs with bookmark structure
Automatically selected when: No index detected, but bookmarks are present
Click Use Bookmarks to proceed with this method.
Method 3: Manual Definition (Fallback)
When used: PDF has neither index nor bookmarks (detected automatically)
How it works:
- You manually enter document names
- You specify page ranges for each document
- Can import from CSV file for bulk entry
Processing:
- Fully local processing (UK server only)
- No automated detection
- Complete user control
Best for:
- PDFs without any structured navigation
- Custom extraction requirements
- When you want complete manual control
Automatically selected when: No index or bookmarks detected
Click Define Manually to proceed with this method.
Visual Editor for Manual Mode
When using manual mode, you can open the Visual Editor — a full-screen PDF viewer that lets you scroll through your document and visually place document breaks, instead of typing page numbers into a table.
Opening the Visual Editor:
- Choose Manual Mode (or have it auto-selected)
- Click the Open Visual Editor button in the toolbar
- The viewer opens as a full-screen overlay
Placing document breaks:
- Scroll through your PDF pages
- Between every pair of pages you'll see a break zone (a dashed line)
- Press Spacebar to toggle a document break at the currently focused break zone
- You can also click directly on any break zone to toggle it
- Active breaks show as red dashed lines with a "Document X starts here" label
Navigation:
| Key | Action |
|---|---|
| Spacebar | Toggle a document break at the focused gap |
| Up Arrow | Jump to the previous break zone |
| Down Arrow | Jump to the next break zone |
| Left Arrow | Skip 5 pages back |
| Right Arrow | Skip 5 pages forward |
| Escape | Close the viewer |
Additional navigation features:
- Go to page — Type a page number in the top bar to jump directly to that page
- Thumbnail strip — A scrollable row of page thumbnails at the bottom. Click any thumbnail to jump to that page. The two thumbnails around your current break zone are highlighted in amber
- Sidebar — Shows your live document list with page ranges. Click any document to jump to its starting break zone. The current document is highlighted as you scroll
- Zoom controls — Use the + and - buttons in the top bar to adjust page size
Two-way sync with the document table:
- Any breaks you place in the visual editor immediately update the document table below
- Any changes you make in the document table (renaming, adjusting page ranges, deleting) are reflected in the viewer when you reopen it
- You can switch freely between the visual editor and the table — they always stay in sync
Performance with large documents:
The viewer is built for large PDFs (tested with 5,000+ pages):
- Only pages near your scroll position are rendered
- Thumbnails load on demand as you scroll
- Memory is managed automatically by recycling off-screen pages
Tips:
- Use Up/Down arrows to step through break zones one at a time — each break zone lands in the centre of your screen so you can clearly see both pages
- Use Left/Right arrows to skip ahead quickly through large sections, then fine-tune with Up/Down
- The sidebar is useful for reviewing your document list as you work — it scrolls to keep the current document visible
- Press Escape when done — all your breaks are already saved in the document table
Editing Your Documents
After extraction, you'll see a document editor where you can adjust the results.
Renaming Documents
- Click the document name field
- Type the new name
- Changes save automatically
Tips:
- Use clear, descriptive names

To exclude a document:
1. Click the toggle switch
2. It turns gray
3. Document won't be extracted
Use case: Skip cover pages, dividers, or unwanted sections

- Previous document's end page increases
Example:
- Before: Doc 1 (pages 1-5), Doc 2 (pages 6-10), Doc 3 (pages 11-15)
- Delete Doc 2 with DELETE −
- After: Doc 1 (pages 1-10), Doc 3 (pages 11-15)

Tips & Best Practices
Naming Conventions
Good document names:
- ✅ Clear and descriptive
- ✅ Include party names if relevant
- ✅ Use dates (YYYY-MM-DD format)
- ✅ Keep reasonable length
Examples:
- Witness Statement - John Smith
- 2024-01-15 Expert Report Dr Jane Doe
- Correspondence 2024-01-20
Avoid:
- ❌ Special characters: / \ : * ? " < > |
- ❌ Overly long names (>100 characters)
- ❌ Vague names like "Document 1"
Page Range Tips
Verify page ranges:
- Check the page number at bottom of PDF viewer
- PDF "page 1" may show different number internally
- Use the physical page position, not the printed number
Example:
- PDF shows "Page iii" (Roman numerals)
- This is physical page 3 in the PDF
- Enter "3" as start page
For documents with numbering offsets:
- System uses physical page positions
- Not the printed page numbers
- Count from start of PDF file
Using Date Prefixes
When to use:
- Correspondence (date of letter)
- Statements (date signed)
- Reports (date issued)
- Chronological ordering needed
Format: Always use YYYY-MM-DD
- ✅ 2024-01-15 (sorts correctly)
- ❌ 01/15/2024 (sorts incorrectly)
- ❌ 15-Jan-2024 (sorts incorrectly)
Benefit: Files sort chronologically in file explorer
CSV Workflow for Large Bundles
For 20+ documents:
- Extract with any method first
- Click Export CSV
- Open in Excel/spreadsheet
- Edit all names and dates efficiently
- Save as CSV
- Click Import CSV
- Review in editor
- Click Download
Much faster than editing one-by-one in browser!
Logout Best Practices
Always logout when finished:
- ✅ Ensures immediate file deletion
- ✅ Visual confirmation provided
- ✅ Best security practice
Don't rely on:
- ❌ Closing browser tab
- ❌ Closing browser
- ❌ Daily cleanup at 4am
Just click Logout! Takes 8 seconds and gives you peace of mind.
